Administrator for the Probation Service Northern Norrland

The Swedish Prison and Probation Service is growing – we are building new facilities, renovating, and expanding, and we are now looking for more employees. Our most important goal is to reduce recidivism – to break the vicious cycle. If we succeed, society will be safer and more secure for everyone. We are the authority responsible for prisons, probation, detention centers, and client transport.

The Probation Service Northern Norrland covers Västernorrland, Västerbotten, and Norrbotten counties and has staffed offices in Luleå, Gällivare, Umeå, and Sundsvall. The Probation Service conducts personal investigations and supervises clients who are conditionally released, under probation, sentenced to community service, or monitored with electronic tags/intensive supervision. The Probation Service also works with various treatment programs, in Umeå and Sundsvall also on-site at nearby prisons. Approximately 180 employees and 10 managers work within the Northern Norrland Probation Service to reduce clients' recidivism and thereby increase safety in society.

JOB DESCRIPTION

As an administrator, you will be part of a team of four administrators primarily responsible for common administrative tasks. The job also includes staffing the reception and thus plays an important role in preventive security work by being responsible for the office's access to the visiting department. You are responsible for verifying the client's identity, checking the case, and clarifying the client's status before allowing the person to enter our premises. This is to avoid letting unknown or intoxicated individuals into our facilities as much as possible.

You are responsible for, together with other staff, safely refusing clients who pose a security risk. You are also responsible for archives, diaries, mail handling, orders, financial administration, and registration in the client administrative systems. This may involve registering and dispatching decisions and personal investigations based on the probation service's part in the legal chain. Through the reception and office, you represent the Swedish Prison and Probation Service with a trustworthy and correct approach towards clients, partners, and the public. The tasks require you to ensure that confidentiality is maintained while being familiar with the principle of public access.

QUALIFICATIONS

The role of administrator is a service function, which requires you to be service-oriented. Furthermore, you have the ability to plan, organize, and prioritize work carefully and efficiently so that important tasks are maintained. To thrive in this role, you need to enjoy working closely with your colleagues, so we see that your ability to collaborate is very good. We expect you to have good IT skills and a well-developed administrative ability.

We are looking for someone who has:

  • High school diploma or equivalent in administrative or economic orientation, or other education combined with relevant experience deemed equivalent by the employer.
  • At least 3 years of relevant experience in administrative work within public administration (relevant experience means within the last 5 years)
  • Good IT skills
  • Good knowledge of the Swedish language in both spoken and written form
  • Driver's license B

It is an advantage if you have:

  • Knowledge of the Administrative Procedure Act
  • Experience in government work
  • Experience in archiving and diary keeping.
  • Experience in customer/client contact, for example from reception
